Overview

IBH Publishing Services is the BPO arm of India Book House and provides publishing services to its overseas clients. IBH Publishing Services provides effective, IT-enabled solutions for publishers and content providers to control and manage crucial business processes for enhanced productivity, controlling costs and increasing quality standards.


Business Need

IBH Publishing Service existing process flow was not efficient and suffered from following discrepancies.

  • Lot of manual work involved
  • Duplication of Data
  • Difficulty to generate different kinds of reports
  • Difficulty in maintaining the job records
  • Unable to see the current jobs status
  • Difficulty in prioritizing the jobs according to due dates
  • Difficulty in assigning tasks and reducing idle resources
  • Difficulty to know the clients jobs status

Challenges and Requirements

IBH management realized the importance of streamlining the process flow and reposed their faith in Web Access for achieving the desired results. The solution was to provide an overview of each job for different departments of IBH as well as a comprehensive overview for management and IBH clients. IBH clients were to be enabled to directly add jobs and review progress of their jobs remotely. The solution was to cater to the workflow requirements of different departments and comprised of following modules.

  • Financial Management Module.
  • Composition Management Module.
  • Content Management Module.
  • Outsource Management Module.

Web Access Role

Web Access, after a detailed study and analysis of the existing processes, suggested a solution that will control the process workflow of the jobs, provide remote monitoring facility to the clients, gave an up-to-date status of the jobs at hand to the management, and most importantly make the system simple, user friendly and effective. Some of the features of the solution include:-

  • Remote job posting by the client.
  • Review and remote monitoring of the current jobs by client
  • Client can generate and view reports of the past jobs
  • Users can view the jobs summary and monitor progress of the current jobs
  • Automatic setting to send alert mails before completion of job
  • Dynamic creation and assignment of roles by system administration
  • Calculates overall productivity of each user of the system
  • Calculate overall productivity of all jobs performed
  • Report generation based on different scenario.

Benefits and Outcome

The Process Flow Management solution helped to automatically collect and collate data and eliminated the need for duplicate entry of data. The software is successfully installed and running at the client place. The feedback has been positive and a significant reduction in time used to complete the jobs, and errors has been experienced. There has been at least 5x enhancement in productivity post implementation of the solution.
